ACCEPTING GIFTS/BEQUESTS/FEES FOR SERVICES/HONORARIA


GIFTS/BEQUESTS

Employees and volunteers may not accept monetary or material gifts from or on behalf of service users, suppliers, vendors, or community members except for a token, personal memento of no appreciable value, i.e., $25 or less. (Volunteers should also see Gifts, HR # 9-210.)

Upon offer of a gift, it must be reported to a manager. Gifts/bequests are to be forwarded to the AIDS Committee of Toronto (ACT) as a donation. (See Gifts from Sponsors/Donors, AM # 6-170.)

FEES FOR SERVICES

If a fee is charged for an ACT related workshop, program, service or product, the fee is to be established in advance by the Executive Director in conjunction with the presenter(s) and the manager. When establishing the fee, consideration is given to the following factors:

- preparation time;

- presentation time (e.g. 1/2 day, full day, etc.);

- travel expenses (location); and

- number of participants/service users.

All funds are to be forwarded to ACT as a donation.

HONORARIA

All honoraria and expense reimbursements offered to ACT employees/volunteers for ACT related presentations must be reported to the manager.

A non-monetary gift may be kept if it was intended for the individual and it does not exceed a value of $25.

If work time was used to prepare materials for an outside presentation for which the employee receives an honorarium, or if the employee uses agency time for the presentation, the honorarium must be turned over to ACT as a donation.

If an employee exclusively used personal time and materials for such a presentation, the employee may keep any honoraria offered with the approval of the manager.
